Apprentice HR and Finance Administrator REF: LS250 - Sheffield (S3 8NS)

The Role

Are you looking for a long-term career with a company who is passionate about recruiting and developing apprentices. If so, we are looking for an enthusiastic person to perform the vital administration tasks for a busy HR and Finance department, and help out on reception when required.

Duties Will Include

HR Admin Duties

  • Ensuring DBS checks are renewed for existing employees in-line with Company Policy and CQC requirements

  • Destroying DBS certificates in-line with Data Protection

  • Ensuring Contacts of Employment and Job Descriptions for new and current employees are issued, signed and returned to be kept on their personnel records

  • Provide support to Managers/HR Advisors with audio typing of Investigations, Disciplinary and Grievance Hearings, Absence Reviews,

  • Support the HR Team with maintaining and updating SharePoint, to ensure all personal information is accurate and up to date

  • Taking minutes at various HR meetings and distributing these appropriately

  • Support with the ID badge process for new and existing employees

  • Support with the volunteers process

  • Distribute internal and external mail received within the HR office

  • Provide administrative support to the Senior HR Advisor and the HR Advisors when required

  • Maintain strict confidentiality at all times

  • Carry out any other reasonable duties as delegates by the senior HR Advisor and the Senior Management team

    Finance Administrator Duties

  • Provide admin support to the Finance Manager and the Assistant Finance Manager

  • Assisting Accounts Payable with dealing with incoming queries

  • Providing support with the manual filing system

    Reception Cover Duties

  • To provide reception cover on a daily basis in a morning, (08:30 - 09:00) breaks/lunch, and as and when required in the absence of the Receptionist and to cover all reception duties when required

  • Receive all visitors to the head office in a professional manner, issuing visitors passes where appropriate, signpost to relevant persons, and to ensure signatures in and out of the building

  • Answering incoming calls and directing them through the relevant individuals using the switchboard

  • Receive and relay messages in a timely, professional manner by signposting to relevant persons to maintain open and effective lines of communication

  • Diary management and booking of meeting rooms and equipment

  • Managers diary to be updated and emailed to all on a weekly basis

  • Preparing, recording, sorting and franking mail for sending and log on to the post log database on a daily basis

  • Maintain the franking machine and relevant supplies

  • Distribute internal and external mail appropriately

  • Undertake Fire Marshall training and refresher training to ensure evacuation procedures are followed and liaising with Fire Marshall's to ensure the building is clear

  • Maintain stock cupboard supplies, facilities and equipment efficiently and economically to help maximise budget allocations, and sign out stationary supplies as requested

  • Complete a stationary order for Departments within the Head Office on a fortnightly basis

  • Maintain strict confidentiality at all times regarding service user/beneficiary information, and maintain records in accordance with the data protection policy and procedure

  • Key holder responsibilities for utilities meter reading access

  • Monitor and oversee the car park

  • Deal with any other queries via the reception desk


  • Assist in the induction of new staff

  • Participate in and contribute to staff meetings

  • Support colleagues in difficult situations within the workplace

  • Attend supervision and appraisal meetings and have a willingness to be accountable and develop as a valued team member

  • To undertake training as required. This may include attending training courses outside your place of work

    Skills Required

  • Strong attention to detail

  • Previous experience in Administration is vital

  • Ability to use Microsoft applications such as Outlook and Excel

    The successful candidate will study a Level 3 Business Administrator Standard. This will be aided by an Assessor who will carry out all assessments as work based learning, within the workplace.

    Hours and Wage

    37.5 Hours Per Week. Monday to Friday. 7.5 Hours Per Day - Standard hours are 09:00 - 17:00, with 30 minutes lunch, but some staff start at 07:30 and finish at 15:30, so these working hours are negotiable, as the business are flexible.
