Apprentice Receptionist/HR Administrator REF: LS251 - Sheffield (S3 8NS)

The Role

Are you looking for a long term career with a company who is passionate about recruiting and developing apprentices? If so, we are looking for an enthusiastic person to front the business, whilst also performing vital administration tasks for the busy HR department

Duties Will Include

Reception Duties

  • Receive all visitors to the head office in a professional manner, issuing visitors passes where appropriate, signpost to relevant persons, and to ensure signatures in and out of the building

  • Answering incoming calls and directing them through the relevant individuals using the switchboard

  • Diary management and booking of meeting rooms and equipment

  • Managers diary to be updated and emailed to all on a weekly basis

  • Preparing, recording, sorting and franking mail for sending and log on to the post log database on a daily basis

  • Maintain the franking machine and relevant supplies

  • Distribute internal and external mail appropriately

  • Undertake Fire Marshall training and refresher training to ensure evacuation procedures are followed and liaising with Fire Marshall's to ensure the building is clear

  • Maintain stock cupboard supplies, facilities and equipment efficiently and economically to help maximise budget allocations, and sign out stationary supplies as requested

  • Complete a stationary order for Departments within the Head Office on a fortnightly basis

  • Maintain strict confidentiality at all times regarding service user/beneficiary information, and maintain records in accordance with the data protection policy and procedure

  • Key holder responsibilities for utilities meter reading access

  • Monitor and oversee the car park

  • Deal with any other queries via the reception desk


  • Be polite, courteous and supportive to all team members

  • Be flexible in accordance with the needs of the weekly rota

  • Be available to cover leave Sickness, Annual Leave, etc..)

  • Assist in the induction of new staff

  • Participate in and contribute to staff meetings

  • Support colleagues in difficult situations within the workplace

  • Ensure issues of concern are elevated to a more knowledgeable member of staff if the situation required specific expertise

    Any other duties as reasonably requested, relative to the objectives of the post

  • Excellent verbal and written skills

  • Strong attention to detail

  • Good teamwork skills

  • Ability to use Microsoft applications such as Outlook and Excel

  • 5 GCSE's Grade C or above (or equivalent)

    The successful candidate will study a Level 2 qualification in Business Admin. This will be aided by an Assessor who will carry out all assessments as work based learning, within the workplace.

    Hours and Wage

    37.5 Hours Per Week. Monday to Friday. 7.5 Hours Per Day - Standard hours are 09:00 - 17:00, with 30 minutes lunch, but some staff start at 07:30 and finish at 15:30, so these working hours are negotiable, as the business are flexible.
