The Source at Meadowhall
The Source asks clients to be aware that these conditions shall apply to all contracts for the provision of goods & services for all events, conferences to the exclusion of all terms & conditions including any which the client may purport to apply or which may appear in promotional literature.
Bookings will be treated as provisional until the client sends confirmation in writing & the deposit as requested to Meadowhall Education Centre (The Source). Deposits should be received within 14 days of the original booking unless otherwise agreed; failing which The Source shall treat the booking as cancelled by the client and further charges will be incurred detailed below.
Anticipated numbers for conferences and events must be given to the Source not less than 21 days prior to the function.
At not less than 7 days prior to the function the client will provide the final numbers attending.
The amount payable will be this contracted number or the actual number whichever is the greater.
Rooms will be laid out as indicated on the event booking form as requested and signed by the client.
Changes to layout of rooms on the day cannot be guaranteed.
All cancellations/reductions in numbers should be confirmed in writing. Full payment must be made for any room bookings or catering which is booked and is not cancelled.
The Source reserves the right to cancel an agreement & the function at any time if there are reasonable grounds for believing the function is likely:-
- to be disorderly
- to be prejudicial to the justices licence or any other licence
- to cause breach of any of these terms
- to be prejudicial to the reputation of this venue
The Source reserves the right to refuse future bookings to customers who are more then 30 days in arrears with any due payment.
The Source reserves the right to require payment of a deposit at any time prior to a function, the amount of which shall be determined by Source management.
Should the client fail to pay such a deposit within 14 days of request, Source management will re-open the booking to alternative clients unless otherwise agreed.
ALL DEPOSITS ARE NON-REFUNDABLE
In certain circumstances full payment will be required no later than 14 days prior to the event. Any further variation to the price of a function shall be due & payable on the date it is made. Payment for event bookings may be made by cheque or credit or debit card. Cheques should be made payable to: Meadowhall Education Centre.
In the event of circumstances beyond the control of The Source (e.g. increases in the standard rate of VAT or a rise in price of an item supplied) the Source reserves the right to vary prices quoted to an extent which reflects such changed circumstances. Quotations are an estimate of the costs at the time of booking only & prices may be subject to change.
The Source reserves the right to make further charges for any additional services such as photocopying, printing, fax usage and conference equipment which will be charged at the rate as detailed in Source information available from Source reception on request.
Credit facilities may be obtained on application to the Source management. The Source reserve the right to refuse any application. Credit facilities must be agreed prior to the event. All credit amounts will be invoiced immediately after the function. Invoices are due & payable in full within 28 days of the invoice date not withstanding any query by the client as to the amount of the invoice. Time of payment will be of the essence.
Interest on overdue invoices shall accrue from the date when payment becomes due from day to day until the date of the payment at a rate of 4% above the National Westminster base rate from time to time in force & shall accrue at such a rate after as well as before any judgement.
Licensing & Statutory Regulations
The Source is required to comply with the regulations regarding the Fire Precautions Act 1963 & the
Licensing Act 1964 (as amended) relating to the sale of alcohol, music dancing & entertainment covering all functions. Clients must ensure that these regulations are observed & shall indemnify the Source in respect of any costs or claims incurred as a result of any breach of these regulations by the client, guests or independent contractors.
ACCESS TO ALL FIRE EXITS SHALL BE MAINTAINED AT ALL TIMES
No wines, spirits or food from external caterers may be brought onto the premises by the clients/guests for consumption on the premises, unless prior consent with the Source has been obtained & for which a charge will be made. This includes raffle prizes.
IF FOUND IN BREACH OF THIS CONDITION A CHARGE MAY BE INCURRED AGAINST THE ORGANISER.
Smoking, Drugs and alcohol
Smoking is not permitted in any part of the building.
Delegates may not bring, use or sell or be under the influence of illegal drugs or alcohol at the Source
